GUEST RENTAL AGREEMENT

Idaho Cabin Keepers makes this agreement as agent on behalf of the owner and guest to rent the premises under the terms listed.  You must sign and return a copy of these rules within 3 business days for the reservation to be confirmed.  Please return via email, fax or regular mail.

RESERVATIONS

All reservations require a 50% deposit.  There is a two-night minimum on all properties.  There may be a different minimum stay requirement during Holiday periods.  Online bookings require payment of the deposit by credit card.  We accept Visa, Mastercard, Checks and Cash.  A credit card is necessary  for booking, however,  if making payment by check, deposit check must be received within 5 days of booking and balance must be received thirty days prior to arrival date.  A fee of $35.00 will be charged on all returned checks.  The balance due on credit card bookings will be charged 30 days prior to arrival.  Full payment of all bookings must be received no later than 30 days priors to arrival.  You must be 21 years of age to make a reservation.  Upon receipt of deposit payment and signed rental agreement, reservation will be confirmed via email or regular mail.  Rates are subject to change without notice and do not include 8% sales and lodging tax or non-refundable cleaning fee (varies by unit).  Cabins are priced differently.  Some published rates are based on an occupancy of 1-4 people with an additional person fee of $15 per night, up to the maximum occupancy of a unit.  Other cabins are priced on a nightly basis.  

CANCELLATIONS       

If your reservation is cancelled for any reason, you will be charged a non-refundable $50.00 fee.  If you cancel 61 or more days prior to arrival, you will receive a refund, less a $50.00 cancellation fee.  If you cancel less than 60 days prior to arrival, you will forfeit your deposit.  If you cancel within 30 days of arrival, your total balance becomes non-refundable.  Guests are responsible for all nights reserved regardless of late arrival or early departure.  There are NO refunds for “NO-SHOW”.  Idaho Cabin Keepers is not responsible for acts of God.  Conditions which Idaho Cabin Keepers cannot control (i.e. weather, temperature, rain, snow, etc.) are not considered grounds for a refund.

CHECK IN/CHECK OUT TIMES

Check-in time is 4:00 p.m.  Check-out time is 11:00 a.m.  Our rental office is located in downtown Crouch at 522-C S. Middlefork Road,  Garden Valley, Idaho.  Our office hours are usually Mon-Fri from 10 a.m. to 5 p.m.  If  you arrive after hours or if we are otherwise unavailable, a packet with a key, map and information about your unit will be located in the wooden box outside our office on the wall to the right of the door.  Please click here for directions to Garden Valley.  PLEASE NOTE: 4-WHEEL DRIVE AND CHAINS ARE ABSOLUTELY NECESSARY DURING OUR WINTER MONTHS TO GET TO CABINS.

ACCOMMODATIONS

All of the properties belonging to the Idaho Cabin Keepers rental program are privately owned.  Therefore, each property will be uniquely different in décor, equipment, etc.  Misrepresentation of any or all properties is unintentional.  Idaho Cabin Keepers will not be held responsible for changes made by owners, printing or environmental factors.  However, all properties will come equipped with the basic necessities when renting a home.  A basic supply of sheets and towels, hand soap, toilet paper, dish soap, paper towels, coffee filters, shampoo/conditioner, laundry detergent are provided along with house wares.  Each property will be cleaned before and after each reservation.  Please leave the unit  as clean as you found it.  Remove all perishable food items from the refrigerator.  All furniture and items should be returned to their original location.  Do not make beds that have been slept in.  Excessive cleaning will be charged to your credit card at $25/hour with a one-hour minimum.  Excessive cleaning is considered anything beyond changing bed linens, laundering linens, dusting, vacuuming, cleaning the bathroom(s) and putting away clean dishes.

MAXIMUM OCCUPANCY

The number of guests occupying a property is limited to the number stated in the unit information, with the exception of infants sleeping in cribs or playpens.  These limits are strictly enforced.  The published rate is based on an occupancy of 1-4 persons.  Each additional person up to the maximum is $15 per person per night.  Mobile homes, campers and sleeping bags, where allowed, will be charged at an additional rental rate of $5.00 per person per night.  Special group use will be assessed an additional charge (contact us for a quote) where allowed, and must be pre-approved by Idaho Cabin Keepers.  Exceeding maximum occupancy, except where specifically authorized, will be grounds for immediate eviction and forfeiture of all funds paid.  If it is determined that more people than originally booked were in occupancy at the cabin, Idaho Cabin Keepers will charge the difference to the credit card on file.   Once final payment has been taken (two weeks prior to arrival) no refunds will be given for lower occupancy.

SMOKING IS NOT ALLOWED IN ANY PROPERTY

Smoking is allowed outside only and cigarette disposal containers have been provided for your convenience.  Any extra cleaning charges including, but not limited to, carpet, furniture, draperies or bedding needed because of smoking will be charged to your credit card.  In addition, if extra time is required to pick up butts on the property grounds, you will incur an additional fee of $50.00 charged to your credit card.

PETS (DOGS ONLY)

No pets are allowed in any property unless specifically noted as a “pet-friendly” unit.   Intentional disregard of this rule will result in immediate eviction and forfeiture of all monies paid.  If guest has been granted permission to bring a pet, a per pet fee of $50 will be charged and guest gives Idaho Cabin Keepers permission to charge a refundable $250.00 pet fee to their credit card.  PETS ARE NOT ALLOWED ON ANY FURNITURE OR BEDS AND CANNOT REMAIN ALONE INSIDE ANY CABIN!  Any additional cleaning or repairs/replacement of furnishings required due to occupancy of the pet will be charged to the credit card on file.  Additional charge may apply if pet feces is not properly cleaned up and disposed.  If it is found that there are more or different pets than agreed to on the premises, or if complaints come from neighbors about excessive noise due to the pets, guest will be asked to vacate immediately with no refund. 

PHONES/LONG DISTANCE CALLS

Not all units have phones!  Please review the property amenities before booking your unit.  Properties with phones provide local calling only.  All long-distance calls must be placed on guest’s calling card or credit card.  Any calls billed directly to the property will be charged to the guest’s credit card including a $15.00 service charge.

TV/VCR/CABLE

All units have differing entertainment amenities.  Please review the property amenities for each property.  Some units may have no reception and allow the viewing of DVD/VCR only.

LOST/NON-RETURNED KEYS

All keys must be returned to the office at time of Check-Out (there is a key drop box at the bottom of the stairs).  As these are privately owned properties, guest is responsible for lost keys.  The property will be re-keyed in the event that keys are lost, misplaced or not returned.  All associated costs will charged to your credit card.

UNIT CHANGES

While every effort is made to accommodate guests in the specific property requested, the owner of the property may sell it or otherwise make it unavailable.  Should this occur, Idaho Cabin Keepers will make every effort to find suitable accommodations for the same period.  Rates may vary and Idaho Cabin Keepers’ liability shall be limited to refund of any deposit.  Once a property has been booked, renter will pay a $75.00 administrative fee to change properties and property changes will only be allowed 30 days prior to arrival, with the exception that if the planned occupancy will exceed the property originally booked another cabin, if available, may be substituted with costs adjustments per unit pricing.

REPAIRS

Unfortunately we cannot guarantee the operation of all appliances and amenities.  Please report inoperative equipment to Idaho Cabin Keepers.  We will make every effort to have repairs made as quickly as possible.  These failures are beyond our control and no refund or rent reduction will be given.

RISKS/SAFETY

Children are welcome, however, there may be conditions in and around the unit that may pose a hazard to them as well as to adults.  Idaho Cabin Keepers does not assume any liability or responsibility for any injuries occurring during your stay with us.  Children must be supervised at all times.

INDEMNIFICATION

The guest agrees to indemnify and hold individual homeowner, Idaho Cabin Keepers and it employees or agents, free and harmless for any liabilities or any loss or damages whatsoever arising from, related to, or in connection with rental of premises.  This includes, but is not limited to, any claim or liability for personal injury or damage or loss of property, which is made, incurred or sustained, by guest or guest of guest, or any occupant’s of the premises.

TERMINATION OF RENTAL

Idaho Cabin Keepers reserves the right to refuse or discontinue tenancy if in its opinion the guest is detrimental to the property.  Any violation of the above-mentioned policies will result in immediate eviction and loss of entire rental and deposit amounts.

CREDIT CARD

I am providing my credit card number as a guarantee and for payment of rents.  I agree to pay all rent and/or any other fees associated with this rental, accept all terms of this rental agreement and accept liability for any damage beyond normal wear and tear during the term of my stay with Idaho Cabin Keepers.  If I fail to do so, I understand that these costs will be charged to my credit card and all credit card sales are final.  Any damages found upon arrival or occurring during your stay must be reported immediately to the office at 208-462-3451.  Guests will be responsible for any unreported damages or theft.

AGREEMENT

Guest certifies that he/she has read and agrees to abide by the terms of this rental agreement and by signing below is authorizing any outstanding charges remaining after departure to be charged to the credit card on file with Idaho Cabin Keepers.
